Legal Administrative Assistant - Litigation

Venable LLP is hiring for an exciting Legal Administrative Assistant opportunity!  This role will require a highly driven individual who demonstrates a strong client service acumen, a high level of organization and attention to detail. They will be essential in providing key support to legal staff for our Commercial Litigation practice group in our Washington, DC headquarters.

 

The ideal candidate will be responsible for... 

  • Providing comprehensive administrative support to assigned legal staff.
  • Preparing correspondence, legal documents, forms, presentations and the like using advanced knowledge and skills with word processing related and other software programs.
  • Managing billing process to include time-entry, data review and correction, final submission to meet all Firm-required deadlines, maintenance of billing records, and research of disputes and discrepancies.
  • Establishing and maintaining well-organized files and the integrity of original client documents.
  • Showing a strong sense of ownership and integrity when reading, prioritizing, routing and following up on client communications.
  • Scheduling appointments, travel preparation/arrangements and managing business calendars.

 

The successful candidate will demonstrate...

  • A minimum of 3-5 years’ prior relevant work experience within a law firm and specifically in the litigation practice group is required.
  • Prior experience with programs including Best Authority, eFiling, DocuSign, PDF Essentials, various ERoom platforms, DropBox, etc.
  • Advanced use of MS Word (including redlining, comparing documents, advanced formatting, TOA and TOC creation and manipulation, and embedded hyperlinks) as well as an ability to quickly learn other applications as necessary.
  • Proficient knowledge and usage of document management system (WorkSite/FileSite).
  • The ability to independently and efficiently prioritize workflow, and maintain an organized task schedule.
  • Superior organizational skills; demonstrated ability to coordinate multiple competing tasks and demands.
  • The ability to efficiently read and write in order to proof and edit (using edit marks).
