Practice Group Assistant - Patent

Venable LLP is seeking a skilled and organized Patent Practice Group Assistant to join our Intellectual Property Division located in our Washington, DC Office. Working closely with the Legal Administrative Assistants and legal staff, the Practice Group Assistant will be responsible for an expanded range of administrative duties to efficiently support our Patent Prosecution and Counseling Practice Group.

 
The ideal candidate will be responsible for...

  • Processing expenses, document retrieval, organizing documents and assembling business development materials
  • Assisting with monthly client billing process
  • Ensuring timely processing of client charges for all appropriate expenditures, including processing requests for payment of outside vendors (draftsmen, foreign associates, translators and other similar types of vendors)
  • Assisting legal staff with new business intake, including opening new patent prosecution matters
  • Assisting with management of lifecycle of patent applications including drafting and sending routine correspondences, and filing formal documents in the U.S. Patent and Trademark Office
  • Maintaining electronic and physical files
  • Assisting with out-processing of client files, including ensuring file cleanout, close file procedures, and special practice area filing procedures
  • Attending required firm training programs and maintain proficiency on all applicable software/applications
  • Utilizing quality control measures to produce error-free work consistently and efficiently
  • Managing daily workflow of assigned tasks

The successful candidate will demonstrate...

  • Bachelor’s degree or equivalent experience
  • Minimum of 1-2 years of patent prosecution support experience
  • Knowledge of federal rules, regulations, U.S. and international Intellectual Property Law
  • Ability to effectively utilize IP docketing software (Inprotech) and USPTO online resources (PAIR, EFS-Web, EPAS)
  • Proficient knowledge and usage of document management system (WorkSite/FileSite)
  • Strong attention to detail
  • Passing scores on Microsoft Word and Outlook assessments
  • Desire to learn new tasks and technologies
  • Flexibility to work overtime
